Legal

Terms of service

Last updated: 15 October 2026

1. Who these terms are for

These terms govern the use of NEWWORK Projects (the “service”) provided by NEWWORK [legal form to confirm] (“we”). The service is for businesses, freelancers and other organisations acting in a professional capacity, not for consumers. Whoever accepts these terms for a workspace accepts them for the organisation that owns it (the “customer”).

2. The service

NEWWORK Projects is hosted software for planning and delivering work, including the connection for AI agents. The features of each plan are described on the pricing page. Features marked “Soon” are not part of any plan until they ship. We develop the service continuously and may change features, as long as the core of what a paid plan includes stays available for the paid period.

3. Accounts, workspaces and agents

  • Give accurate account details and keep passwords and tokens secret.
  • Workspace owners decide who joins and what they can do, and are responsible for their members’ use of the workspace.
  • An agent connected with a member’s token acts as that member, with that member’s permissions. The customer is responsible for what its agents do.

4. Plans, trials and payment

  • Paid plans are billed in advance, monthly or yearly, through Stripe. Prices are net; VAT is added where it applies, and reverse charge applies to EU businesses with a valid VAT ID.
  • A seat is any member except guests. Adding or removing members changes the number of seats, prorated to the day.
  • The Business trial lasts 14 days, needs no card and is offered once per workspace. If no payment method is added by the end, the workspace returns to Free.
  • If a payment fails, the plan stays while the payment is retried. If the retries fail too, the workspace returns to Free.
  • Moving to a smaller plan deletes nothing. Content beyond the smaller plan’s limits becomes read-only.

5. Term and cancellation

Free workspaces can be closed at any time. Paid plans renew for the same period until cancelled and can be cancelled at any time, effective at the end of the current period. Either side may terminate for good cause. We may suspend a workspace that seriously breaches section 7 and will tell the owners why.

6. Customer content

Everything the customer and its members put into the service stays theirs. We use it only to provide the service, as set out in the data processing agreement, which forms part of these terms. Owners can export a workspace at any time. When a workspace is deleted, we delete its content.

7. Acceptable use

Don’t use the service to break the law, infringe others’ rights, store malware, send spam, get around plan limits, probe or test the security or load of the service without our written consent, or resell it without an agreement with us. Security findings are welcome at security@newworkprojects.com.

8. AI features

AI writes drafts and suggestions; they can be wrong. The customer reviews what it uses. The built-in AI has a monthly allowance per plan. With the workspace’s own OpenAI key, requests run under the customer’s OpenAI account and its terms.

9. Availability and support

We work to keep the service available and announce planned maintenance in advance where we can. Service levels are agreed only in an Enterprise contract. Support is available at support@newworkprojects.com.

10. Liability

  • We are liable without limitation for intent and gross negligence, for injury to life, body or health, under the Product Liability Act and where we have given a guarantee.
  • For slight negligence we are liable only for breaches of essential obligations, meaning obligations whose fulfilment makes the contract possible and on which the customer may rely. This liability is limited to the damage typical and foreseeable for this kind of contract, and in total per contract year to the fees paid in the twelve months before the damage occurred.
  • On the Free plan we are liable only for intent and gross negligence, apart from the cases of unlimited liability above.
  • The customer is responsible for keeping its own copies of content it cannot afford to lose; exports are available at any time.

11. Changes to these terms

We announce changes by email to workspace owners at least six weeks before they take effect. If an owner objects before then, the customer may cancel the paid plan when the change takes effect. Otherwise the changed terms apply from that date; we point this out in the announcement.

12. Final provisions

German law applies, excluding the UN Convention on Contracts for the International Sale of Goods. The place of jurisdiction is our registered office, as far as the law allows. If a provision is invalid, the others remain in force. Individual agreements, such as an Enterprise contract, take precedence over these terms.
